Round Robin Scheduling That Shares Meetings Fairly

Round robin scheduling assigns each new meeting to the next person on a team, so no one is flooded and no one is left out. HourMeet applies the rule while the guest simply picks a time.

What round robin scheduling means for meetings

In a round robin setup, a group of hosts shares one booking page. When a guest books, the system picks the host according to a rule you set, not according to who happened to reply first. The guest never needs to choose a person and the team never needs to argue about who takes the next call.

This matters for inbound demo requests, discovery calls, support sessions and interviews, where each meeting has similar value and the goal is an even spread.

Two rules you can choose from

HourMeet supports two round robin behaviours. You pick one per meeting type, and you can change it later.

  • Fair rotation gives the next meeting to the host who has received the fewest in the period, among those who are free at the chosen time
  • Maximise availability shows every time at least one host can take, which gives guests the widest choice and fills more of the calendar

How availability and fairness work together

Fairness never overrides reality. Before a slot is offered, HourMeet checks each host calendar through the calendar provider connection, along with working hours, buffers, minimum notice and daily limits. Only hosts who can really attend count in the rotation.

A person on holiday drops out of the rotation without any manual work, and returns when their days are open again. If a host reaches the daily limit, the next person receives the meeting. This keeps the load balanced across weeks, not just across a single day.

Setting it up and what it costs

Create a team, add hosts, choose round robin on a meeting type and share the link. Add routing questions if different guests should reach different groups. Everything the host needs arrives in the calendar invitation, including the video link and the answers from the booking form.

Round robin and collective meetings are included from the Team plan at $149 per month for up to 20 members, and in Business at $499 per month for up to 75 members. Yearly billing is 50 percent lower. The price stays flat as you add people, so spreading meetings wider does not raise your bill.

Questions

Yes. Each host availability is evaluated in their own time zone and the guest sees times in theirs, so a distributed team can share one page.

Use daily limits and separate meeting types to shape the load. For example, a senior host can take only a few meetings a day while others take more.

No. Round robin picks one host per meeting. Collective scheduling needs all selected hosts at the same time.
